MITASCHOOL REFUND POLICY

At Mitaschool, we are committed to delivering structured, high-quality, and practical tech education. Our programs are designed to provide real value through hands-on learning, expert mentorship, industry-aligned curriculum, and career-focused training that prepares students for the demands of the technology sector.

Important Notice: Before enrolling in any course, program, or training at Mitaschool, we strongly advise all prospective students to carefully read, review, and fully understand this Refund Policy. This policy outlines the terms and conditions under which refunds may or may not be granted. Enrollment in any Mitaschool program constitutes your acceptance of these terms.

1. General Refund Policy

Non-Refundable Commitment: All payments made to Mitaschool for any course, program, workshop, training session, or educational service are considered non-refundable once payment has been successfully completed and confirmed. This policy applies to full payments, partial payments, installment payments, and deposits.

Student Acknowledgment: By proceeding with enrollment and completing payment through any accepted payment method (bank transfer, card payment, mobile money, cash, or any other approved channel), you explicitly acknowledge and confirm that you have:

  • Read and understood this entire Refund Policy in full
  • Reviewed the course curriculum, schedule, duration, and requirements
  • Confirmed your availability and commitment to complete the program
  • Agreed to abide by all terms, conditions, and policies outlined herein

Binding Agreement: Payment completion serves as your digital signature and binding acceptance of this policy. No verbal or written agreements made outside this official policy document will be recognized unless formally approved and documented by Mitaschool management in writing.

2. Limited Eligibility for Refund

Mitaschool recognizes that exceptional circumstances may arise. Refunds are only considered under strictly defined and verifiable circumstances. The following are the only conditions under which a refund request may be reviewed:

2.1 Duplicate Payment

Definition: A duplicate payment occurs when a student unintentionally makes multiple payments for the same course or program within a short timeframe due to technical error, network issues, or payment processing delays.

Required Evidence: Students must provide official payment receipts, bank statements, or transaction confirmations showing both duplicate charges. The duplicate payment must be verifiable through Mitaschool’s financial records.

Processing: Once verified, the duplicate amount will be refunded to the original payment method within 7-14 working days.

2.2 Course Cancellation by Mitaschool

Definition: In rare circumstances, Mitaschool may need to cancel a scheduled course, program, or cohort due to unforeseen circumstances such as insufficient enrollment numbers, instructor unavailability, facility issues, or force majeure events (natural disasters, government restrictions, etc.).

Student Notification: Affected students will be notified immediately via email, phone, and SMS at least 48 hours before the scheduled start date (where possible).

Refund or Transfer: Students will be offered two options:

  • Full refund of tuition fees paid (processed within 14 working days)
  • Transfer to the next available cohort with priority enrollment

2.3 Proven Inability to Deliver Course

Definition: This applies when Mitaschool is unable to deliver the essential components of a course as explicitly described in the official course outline, curriculum, or enrollment agreement.

Examples Include:

  • Complete failure to provide instructors for more than 50% of scheduled classes
  • Inability to provide access to promised learning tools, software, or platforms
  • Failure to deliver core curriculum modules outlined at enrollment

Important Note: Minor scheduling adjustments, instructor substitutions with qualified alternatives, or delivery method changes (e.g., physical to virtual class) do not constitute inability to deliver and are not grounds for refund.

2.4 Review and Approval Process

Internal Review: All refund requests submitted under the eligible conditions above are subject to thorough internal review by Mitaschool’s management and finance team.

Non-Automatic Approval: Meeting the eligibility criteria does not guarantee automatic refund approval. Each case is assessed individually based on documentation, timeline, and circumstances.

Decision Timeline: Students will receive a decision on their refund request within 5-7 working days of submission. All communication will be via email to the registered student email address.

3. Non-Refundable Conditions

Refunds will NOT be granted under any of the following conditions, regardless of the student’s personal circumstances or reasons:

3.1 Class Attendance

If the student has attended one or more classes (whether physical, virtual, or hybrid), the enrollment is considered active and binding. Attendance includes physical presence, virtual login to online classes, or participation in any live or recorded session. Partial attendance or brief login does not exempt students from this condition.

3.2 Access to Course Materials

If access has been granted to any course materials, resources, or platforms including but not limited to:

  • Learning Management System (LMS) or student portal
  • Course slides, presentations, handouts, or study materials
  • Video recordings, tutorials, or lecture materials
  • Software licenses, tools, or development environments
  • Project templates, datasets, or practice exercises

Once access credentials are provided or materials are downloaded/viewed, the student is considered to have received value from the program. Whether or not the student utilized these resources does not affect this policy.

3.3 Personal Withdrawal

If the student chooses to withdraw, discontinue, or stop attending classes due to personal reasons including but not limited to:

  • Change of mind or loss of interest
  • Work commitments, job changes, or relocation
  • Family obligations or personal emergencies
  • Health issues or medical conditions
  • Financial difficulties or inability to continue payments (for installment plans)
  • Travel plans or scheduling conflicts
  • Enrollment in another program or institution

Important: While Mitaschool understands that life circumstances can change, enrollment represents a commitment. Students are expected to carefully consider their availability and commitment before enrolling.

3.4 Course Dissatisfaction

If the student expresses dissatisfaction with the course after classes have commenced. This includes but is not limited to complaints about teaching style, pace of instruction, course difficulty level, class size, fellow students, or learning environment. Students are encouraged to review course details, syllabi, and speak with admissions counselors before enrolling to ensure the program aligns with their expectations and learning goals.

3.5 Failure to Meet Requirements

If the student fails to meet participation requirements, attendance expectations, or course prerequisites including:

  • Excessive absences or late arrivals
  • Failure to complete assignments, projects, or assessments
  • Lack of prerequisite knowledge or technical requirements
  • Non-participation in group activities, discussions, or practical sessions

Enrollment Signifies Commitment: By enrolling in any Mitaschool program, students demonstrate their commitment to active participation, consistent attendance, and completion of all program requirements. Failure to honor this commitment does not qualify for refund consideration.

4. Alternative Options to Refunds

In situations where a full refund is not applicable under this policy, Mitaschool may, at its sole discretion, consider offering alternative solutions to support student success and flexibility. These options include:

4.1 Cohort Transfer

Option: Transfer enrollment to a future cohort of the same course or program.

Conditions: This option is only available if the student has attended fewer than 25% of total classes and requests transfer before completing one-third of the program duration.

Process: Students must submit a formal transfer request explaining the reason. Approved transfers must be completed within 6 months of the original enrollment date.

Fees: No additional fees are charged for approved cohort transfers. However, if course fees have increased by the time of the new cohort, students may be required to pay the difference.

4.2 Course Switching

Option: Switch to a different course or program offered by Mitaschool of equal or lesser value.

Conditions: Course switching is only permitted within the first two weeks of the original program and before significant course materials have been accessed.

Fee Adjustment: If the new course is of lower value, the difference is not refunded but may be applied as credit toward future Mitaschool programs. If the new course is of higher value, the student must pay the difference before enrollment is confirmed.

Availability: Course switching is subject to seat availability in the desired program and approval by Mitaschool management.

4.3 No Guarantee of Alternatives

Important Disclaimer: These alternative options are offered as goodwill gestures and are not guaranteed entitlements. Approval is entirely at the discretion of Mitaschool management and depends on factors including program availability, enrollment capacity, and individual circumstances. Students should not expect automatic approval of alternative arrangements.

5. Student Responsibilities and Obligations

Prior to enrollment and throughout the duration of their program, students are fully responsible for:

5.1 Pre-Enrollment Due Diligence

  • Thoroughly reviewing all course details, curriculum, schedule, and requirements before making payment
  • Asking questions and seeking clarification from admissions staff regarding any aspect of the program
  • Verifying that they meet all prerequisites and technical requirements
  • Confirming their availability for the entire duration of the program

5.2 Schedule Commitment

  • Ensuring availability for all scheduled classes, including makeup sessions if necessary
  • Planning personal, work, and family commitments around the course schedule
  • Notifying instructors in advance of any unavoidable absences

5.3 Active Participation

  • Attending classes regularly and punctually
  • Actively participating in discussions, group work, and hands-on activities
  • Completing assignments, projects, and assessments on time
  • Engaging constructively with instructors and fellow students
  • Taking initiative in their own learning and skill development

5.4 Technical Requirements

  • Ensuring access to required technology (computer, internet, software) for online or hybrid programs
  • Troubleshooting basic technical issues independently or seeking support promptly
  • Maintaining reliable internet connectivity for virtual classes

No Refund for Failure to Meet Responsibilities: Failure to fulfill these responsibilities does not qualify a student for refund consideration. Students are expected to take ownership of their learning journey and honor their commitment to the program.

6. Misconduct and Policy Violations

Zero Tolerance for Misconduct: Mitaschool maintains a professional, respectful, and inclusive learning environment. No refunds will be issued to any student who is suspended, expelled, or removed from a program due to:

6.1 Code of Conduct Violations

  • Harassment, bullying, or discrimination against staff, instructors, or fellow students
  • Use of offensive, abusive, or threatening language
  • Disruptive behavior during classes or on Mitaschool premises
  • Violence, intimidation, or creation of an unsafe learning environment

6.2 Academic Dishonesty

  • Plagiarism or submission of someone else’s work as one’s own
  • Cheating on assignments, assessments, or examinations
  • Unauthorized collaboration or sharing of answers
  • Falsification of documents or credentials

6.3 Unethical Behavior

  • Unauthorized recording or distribution of class content, lectures, or materials
  • Sharing login credentials or course access with non-enrolled individuals
  • Violation of intellectual property rights or software licensing agreements
  • Damage to Mitaschool property or facilities
  • Any illegal activities conducted on Mitaschool premises or platforms

Immediate Termination: Students found in violation of Mitaschool’s code of conduct, academic integrity policy, or institutional rules will face immediate suspension or expulsion. In such cases, all fees paid are forfeited, and no refunds, partial refunds, or credits will be issued under any circumstances.

7. Refund Request Submission Process

Students who believe they qualify for a refund under the limited eligibility conditions outlined in Section 2 must follow this official process:

7.1 Official Submission Channel

Required Method: All refund requests must be submitted exclusively through the official Mitaschool Refund Request Form. This form is available on the Mitaschool website or can be obtained from the Student Services Office.

No Informal Requests: Refund requests submitted via email, phone calls, social media, or verbal communication will not be processed or considered valid. Only requests submitted through the official form will be reviewed.

7.2 Required Information

7.3 Incomplete Requests

Automatic Decline: Requests that are incomplete, illegible, lack required documentation, or contain inaccurate information may be declined without further review. Students will be notified of the deficiency and may resubmit with complete information within 7 days of notification.

7.4 Submission Deadline

Timely Submission Required: Refund requests must be submitted within 14 days of the incident or circumstance that forms the basis of the request. Late submissions will not be considered except in cases of documented emergencies or force majeure events.

8. Refund Processing and Payment Timeline

In cases where a refund request is approved by Mitaschool management:

8.1 Standard Processing Time

Timeline: Approved refunds will be processed and paid within 7 to 14 working days from the date of approval notification.

Working Days Defined: Working days exclude weekends, public holidays, and any declared institutional closure days. The timeline begins from the business day following approval notification.

8.2 Payment Method

Original Payment Method: Refunds will be processed using the original payment method whenever possible (bank transfer to original account, card reversal, mobile money refund, etc.).

Alternative Methods: If the original payment method is no longer available or viable, students will be contacted to provide alternative banking details for direct transfer.

8.3 Factors Affecting Timeline

The refund processing timeline may be affected by:

  • Banking institution processing times (which vary by bank)
  • Payment gateway or financial service provider delays
  • Public holidays, weekends, or bank closures
  • Verification requirements by financial institutions
  • Accuracy and completeness of provided banking information

8.4 Confirmation and Tracking

Email Notification: Students will receive email confirmation when the refund has been initiated, including transaction reference number and expected completion date. Students should allow up to 7 additional business days after the stated timeline for the funds to reflect in their account.

9. Final Decision Authority

Management Discretion: All decisions regarding refund requests, alternative arrangements, cohort transfers, or course switches are made at the sole and absolute discretion of Mitaschool management. These decisions are made after thorough review of all submitted documentation, circumstances, and applicable policy provisions.

Final and Binding: All refund decisions made by Mitaschool management are final, conclusive, and binding. Once a decision has been communicated to the student, it cannot be appealed, contested, or reopened except in cases of new evidence not previously available or considered.

No External Recourse: Students agree that Mitaschool’s internal decision represents the complete and final resolution of any refund matter. Students waive the right to pursue external legal action, mediation, or arbitration related to refund decisions made under this policy.

Documentation of Decision: All refund decisions (approved or declined) will be documented in writing and communicated to the student via their registered email address within 7 working days of the decision date.

10. Policy Acknowledgment and Agreement

Binding Acceptance: By enrolling in any Mitaschool course, program, workshop, training, or educational service and completing payment, you irrevocably confirm, acknowledge, and agree that:

  • You have read this Refund Policy in its entirety and understand all terms, conditions, and provisions
  • You have had adequate opportunity to ask questions, seek clarification, and review course details before enrollment
  • You accept and agree to abide by all terms, limitations, and conditions stated in this policy
  • You understand that refunds are strictly limited, conditional, and subject to management approval
  • You acknowledge that enrollment represents a binding commitment to complete the program
  • You waive any right to dispute or challenge this policy after enrollment and payment
  • You accept that all refund decisions made by Mitaschool management are final and binding

Legal Effect: This policy constitutes a legally binding agreement between you (the student) and Mitaschool. Your enrollment and payment serve as your digital signature and acceptance of these terms.
